
I-9 Process
I-9 Advisory
- Students must complete their I-9 process no later than the first day of work
- I-9s are processed by appointment only. Please schedule an appointment through Handshake
- Appointment slots are spaced in 15-minute increments. Please do not arrive more than 5 minutes early or late to your appointment.
- Students will need to bring original copies of their identification documents to the appointment for final verification – Please click this link for a list of acceptable documents. Students must present original documents or the I-9 cannot be processed.
- Review the chart below for specific I-9 process instructions based on your student classification.
I-9 Completion Process by Student Type
Domestic Students
- The student receives a job offer after applying and interviewing with on-campus employer.
- The student makes an I-9 appointment on Handshake that allows them to complete paperwork on or before their first day of work.
- The student reviews required unexpired original documents (Form I-9 Acceptable Documents | USCIS) for I-9 appointment and acquires them before appointment. Photocopies/scans/non-verified duplicates CANNOT be used for appointments.
- Student arrives at Career & Professional Development for I-9 appointment (located next to Chick Fil A at the downstairs level of the Elliott University Center [EUC]).
- Student scans QR code to complete Section 1 of the I-9 on their own at the office.
- After Section 1 is completed, the student provides the Student Employment Coordinator with their documents and the first day of work date so that Section 2 can be completed.
- Once Section 2 is completed, the Student Employment Coordinator makes sure that the student has been sent their I-9 confirmation email and that the I-9 date is input into Banner so that the student can be officially hired by UNCG.
- The Student Employment Coordinator provides written and verbal instructions about the next steps that the student must take in order to secure employment and compensation (i.e. how to sign up for direct deposit on UNCGenie).
- After the I-9 appointment, the student must forward the I-9 confirmation email titled “Notification: SEO-E-Verify Case Complete” to their supervisor and then saves the same email for future use.
*I-9s are valid for up to 4 years from completion. However, if a student has had a break of enrollment greater than a year from UNCG, the student may need to complete a new I-9 or complete a Section 3 reverification of their I-9.
**If a student has a permanent resident card, they may have to reverify their I-9 depending on documentation expiration or if immigration status changes while attending UNCG. Failure to reverify I-9 with the Student Employment Coordinator by the expiration date of their permanent resident card may result in loss of employment eligibility and withheld compensation until reverification occurs.
***I-9s must be completed no later than 3 days after the documented job start date for hourly domestic undergraduate student employees. Supervisors who allow students to work without completing an I-9, are not compliant with federal anti-slavery laws and university Payroll policies. The student’s initial compensation will be significantly delayed the longer they illegally work without an I-9.

- The student makes an I-9 appointment on Handshake that allows them to complete paperwork before or by their first day of work. Many graduate assistants must complete their I-9 by the Payroll deadline of August 1st, in order to receive their first paycheck by the end of August.
- The student reviews required unexpired original documents (Form I-9 Acceptable Documents | USCIS) for I-9 appointment and acquires them before appointment. Photocopies/scans/non-verified duplicates CANNOT be used for appointments.

- The student completes the documentation requirements provided by UNCG’s Office of Global Engagement to enter the U.S. within 30 days of their program start date that is on their I-20 or DS-2019.
- The student receives an official job offer letter after applying and interviewing with on-campus employer. International undergraduate students CANNOT start working until their I-9 is completed.
- The student must go to the Office of Global Engagement to complete their SEVIS check. Students will receive a half-sheet of SEVIS check confirmation.
- The student can apply for their social security card.
- While awaiting their social security card, the student can potentially start completing the documentation requirements of the Payroll Tax Assessment which can be done via Sprintax Calculus links that are emailed.
- After receiving their social security card, the student can proceed with making an I-9 appointment on Handshake or attending a designated I-9 drop-in session at Career & Professional Development (located next to Chick Fil A at the downstairs level of the Elliott University Center [EUC]).
- Student will attend their I-9 appointment or drop-in session with their SEVIS check half-sheet, Social Security Card, passport, most sup-to-date I-94 and I-20/DS-2019.
- Student will scan QR code and complete Section 1 of I-9. International students will be categorized as a #4 on their I-9, and they must include their program end date as their I-9 expiration date.
- After Section 1 is completed, the student and the Student Employment Coordinator completes Section 2 with one another. The student must have all of their documents for the appointment or else the I-9 cannot proceed.
- Once Section 2 is completed, the Student Employment Coordinator makes sure that the student has been sent their I-9 confirmation email and that the I-9 date and correct Social Security information is input into Banner so that the student can be officially hired by UNCG.
- The Student Employment Coordinator provides written and verbal instructions about the next steps that the student must take in order to secure employment and compensation (i.e. how to sign up for direct deposit on UNCGenie).
- After the I-9 appointment, the student must forward the I-9 confirmation email titled “Notification: SEO-E-Verify Case Complete” to their supervisor and then submit the email as proof of I-9 to complete Payroll Tax Assessment.
- International undergraduate students can start working once I-9 is completed.
*International student I-9s are subject to I-9 reverification, which means that if the student’s I-20/DS-2019 expires or their immigration status changes while attending UNCG, they must contact the Student Employment Coordinator to complete reverification in-person at Career & Professional Development. Failure to complete reverification means that the student will not have the legal ability to continue working at UNCG and may have paychecks withheld until reverification occurs.
**I-9s must be completed no later than 3 days after the documented job start date for international hourly undergrad student employees. Supervisors who allow hourly students to work without completing an I-9, are not compliant with federal anti-slavery laws and university Payroll policies. The longer the student employee is allowed to illegally work without an I-9, the more significantly delayed their first paycheck will be.

- After 14 full days within the country, the student can apply for their social security card. TRANSFER International GAs must update their social security number information in order for a new I-9 to be processed.
- After receiving their social security card, the student can proceed with making an I-9 appointment on Handshake or attending a designated I-9 drop-in session at Career & Professional Development (located next to Chick Fil A at the downstairs level of the Elliott University Center [EUC]).

**International graduate assistants who are paid through a monthly stipend are permitted to work on a temporary basis before completing their I-9. However, supervisors must consult Heather McCracken of the Graduate School to ensure that these students receive their 1st paycheck by the end of August. If the student has not completed their I-9 before October 1st, their employment with the university will be rescinded.
