The Form I-9 must be completed in the Student Employment Office before or on first day of work. Student employees must present one selection from List A or a combination of one selection from List B and one selection from List C. All documents must be original and unexpired. Can the Student Employment Office (SEO) provide employment verification for alumni?  

No. SEO does not have access to the documents to provide employment verification for previous student employees who have graduated, transferred and/or are no longer affiliated with the university. SEO cannot provide any employment information to outside companies, agencies, or individuals on behalf of alumni, regardless of the reason.

Past paystubs can be accessed through UNCGENIE or can be provided to alumni through a request to the Payroll Department. Any other verification requests should be directed to your former campus department supervisor or department lead.

To hire a Federal Work Study Student, please complete the FWS Action Form. Find the form and instructions on the HR Files and Forms list.

To hire a non-FWS student employee, complete an Electronic Personnel Action Form (EPAF) through Banner. An EPAF training course can be found on UNCG Percipio.

Federal Work Study students can work up to 20 hours per week, but must not exceed their FWS award.
For example: if a student’s FWS award is $3,000 for the academic year, and they earn $12 per hour, they can work approximately 8 hours and 15 minutes per week.

Departmental student employees can work up to 28 hours per week.

The standard last day of work for student employees is the last day of exams. Please consult the academic calendar for more detail.

Federal work-study students cannot work over the summer.

Departmental pay student employees can work during summer, as long as they are registered for the upcoming Fall semester.

First and last day of work must be indicated on the student EPAF. To extend the payroll period, a new EPAF must be submitted.

Graduate assistant work schedules are determined by The Graduate School and the hiring department.

Start with a well worded job description. Students like a clear idea of what will be expected of them before they apply for a job. Include the rate of pay in the job description.

Request verification from the student, unless you are submitting a reassignment Action Form. If a student has been awarded, they will be able to verify their award via UNCGenie. Refer the student to their Financial Aid Award information to confirm FWS award status.

For returning students, you will be notified by Financial Aid if there is any issue with your student’s continued employment under FWS.

Timesheets are due the 10th of the month. Payroll dates are earlier in November and December. It is the responsibility of the student to work with their manager to ensure the time-sheet is signed and submitted by the deadline each month. Student employees will transition to Web Time Entry in July 2025. Supervisors will be notified of training opportunities.
